Responsible for performing accounting and clerical tasks related to the efficient maintenance and processing of Accounts Receivable transactions. This includes evaluating projects costs for proper classification, working with internal customers to verify final client billings, and making recommendations on the proper way to handle the posting of transactions. It is essential to be able to communicate effectively, get along with all levels of the organization and operate professionally under pressure. Client and internal relationships are core to this position. The appropriate individual should be organized, discrete and be able to prioritize requests.
Essential Duties & Responsibilities:
Prepare draft and send final client invoices for all billable projects in a timely manner.
Carry out billing, collection, and reporting activities according to specific deadlines
Perform account reconciliations
Monitor client accounts for non-payment, delayed payments, and other irregularities
Generate and distribute Accounts Receivable aging
Maintain client files and records including all pertinent contact and payment information
Investigate and resolve client inquiries
Process adjustments and credit memos
Effectively communicate with Account Managers and Account Executives regarding project costs and approvals related to billing
Research and receive approvals for any unbilled or underbilled project items to optimize project margins
Calculate gross margin on projects and investigate projects where GM falls under accepted percentages
Maintain the billing folders for projects, with all appropriate billing documents, including expenses and invoices
Prepare deposit and commission files to track transactions generated from client billing
Required knowledge, skills and abilities:
Efficiently handle multiple projects with competing deadlines and great attention to detail
Good computer skills, with strong working knowledge of Microsoft Office Suite
Strong interpersonal, analytical, and problem-solving skills
Excellent written and verbal communications skills – customer service is key
Education and Experience:
Associate’s degree in Accounting or equivalent combination of education and 5 years of experience in Accounts Receivable or Finance
Experience working with generally accepted accounting principles and accounting software
